Refurbished vs New UPS: Which to Buy?

The short answer

A refurbished UPS is a previously owned uninterruptible power supply that has been professionally restored, tested, and resold with a warranty. A new UPS has never been put into service. Both can protect critical equipment well. The right choice depends on your budget, warranty requirements, the age of the model, and how critical the load is.

GreenlightUPS sells both new and refurbished UPS systems, so this guide is not an argument for one over the other. It explains the differences so you can choose with clear expectations.

What are the UPS condition categories at GreenlightUPS?

Every UPS listed by GreenlightUPS carries a condition label. We sell two conditions, New and Refurbished. We never sell used equipment.

  • New. The unit has never been put into service. New includes NOB (new, open box) and unused surplus. An open-box unit is new, unused equipment whose original packaging has been opened. Unused surplus is equipment that was purchased but never deployed.
  • Refurbished. The unit was previously in service and has been fully refurbished end to end and tested, and it is sold with a 1-year warranty.

Every unit we ship, whether New, NOB, or Refurbished, gets brand-new batteries, and everything is checked before it ships.

What does "refurbished" mean at GreenlightUPS?

At GreenlightUPS, refurbished means fully refurbished end to end, tested, and sold with a warranty. A refurbished UPS is more than a unit that powers on.

Our refurbishment work is done in-house and includes, among other steps:

  • Inspection
  • Testing
  • Cleaning
  • Parts replacement
  • Load testing
  • Brand-new batteries in every unit

Ask any seller what its refurbishment includes. The word "refurbished" has no legal definition, so the details matter more than the label.

New or refurbished: best for

When does a new UPS make sense?

A new UPS is usually the better choice when:

  • A project specification or contract requires new equipment or a full manufacturer warranty.
  • You need the current model generation, for example lithium-ion batteries, higher efficiency, or newer network management features.
  • The load is life-safety or regulated, and your compliance team requires new, factory-warranted hardware.
  • You plan to keep the UPS for a long time and want the full design life from day one.
  • The model is near end of support in refurbished form, and parts and batteries may become harder to find.

New open box (NOB) can be a useful middle ground. It is new, never-used equipment, and on GreenlightUPS listings NOB units typically show a lower price than the manufacturer's MSRP.

One point to check on NOB from any seller: batteries age even in storage, so ask whether the batteries are original or have been replaced. At GreenlightUPS, every NOB unit ships with brand-new batteries and is checked before it ships.

When does a refurbished UPS make sense?

A refurbished UPS is often the better choice when:

  • Budget is fixed and you need enterprise-grade hardware. Refurbished units commonly cost a fraction of the new price, and GreenlightUPS customers can save up to 70–80% off MSRP.
  • You are matching an existing fleet. Standardizing on the same model simplifies spares, batteries, monitoring, and staff training.
  • You need a proven model that is still widely deployed, such as APC Smart-UPS SRT or Symmetra systems.
  • You need a unit fast to replace a failed UPS, and an in-stock refurbished unit ships sooner than a new one on backorder.
  • The deployment is temporary or short-term, such as a lab, a project site, or a bridge until a larger upgrade.
  • Sustainability matters. Reusing a working UPS chassis keeps electronic equipment in service longer.

How do warranties compare between refurbished and new UPS?

New UPS systems bought through the manufacturer's channel usually carry the manufacturer's warranty. Warranty terms vary by brand and model, so check the specific product.

At GreenlightUPS:

  • New, NOB, and Refurbished units carry a 1-year GreenlightUPS warranty.
  • AEC units carry the manufacturer's warranty instead: 3 years on VRLA units and 5 years on lithium units.
  • Batteries inside a unit you buy are covered by that unit's warranty.
  • Extended warranty options are available as an add-on. Ask us when you order.

What is the return policy on refurbished vs new UPS?

The GreenlightUPS returns policy treats new and refurbished items differently:

  • Most new, unopened items can be returned within 30 days of delivery for a refund.
  • Returns of opened or refurbished items may be accepted at our discretion and may receive a partial refund.
  • A 20% restocking fee applies to accepted returns, except when the return is due to our error (incorrect item, defective item, or shipping damage attributable to us).
  • Contact us with your order number before shipping any return. Do not ship a return without our instructions.

Because opened and refurbished returns are discretionary, confirm voltage, plug type, and fit before you order. Our team can help at 954-366-3070.

What about batteries in a refurbished UPS?

Batteries are the part of a UPS that wears out first. Sealed lead-acid (VRLA) UPS batteries typically last about 3 to 5 years at 25 °C (77 °F), whether the UPS is new or refurbished.

When comparing refurbished units, ask:

  1. Are the batteries new, or original to the unit? Every UPS GreenlightUPS ships, refurbished or new, gets brand-new batteries.
  2. What is the battery date code? Batteries sitting on a shelf still age.
  3. Are batteries covered by the warranty? Some warranties exclude batteries. At GreenlightUPS, batteries inside a unit you buy are covered by that unit's warranty.
  4. Are replacement batteries available for this model? GreenlightUPS lists replacement battery modules and cartridges in UPS Add-Ons. Batteries and battery trays bought on their own have no formal warranty, because we can't control the environment they are installed in, but we will work with you on any problem that comes up within a reasonable time after delivery. When GreenlightUPS supplies the batteries and installs them on-site, the batteries and the installation carry a 1-year warranty.

A refurbished UPS with fresh batteries can deliver runtime comparable to a new unit of the same model. A low price on a unit with old batteries is often not a saving: you may need a battery replacement within months.

See our UPS battery replacement guide for more.

How do I compare total cost of ownership?

Purchase price is only part of the cost. Compare:

  • Purchase price, including shipping and freight for large units
  • Battery replacement timing, since a new battery set starts the 3-to-5-year clock over
  • Warranty and coverage plan cost
  • Service and preventive maintenance
  • Efficiency. Newer online UPS models can be more efficient, which lowers energy and cooling costs on large loads
  • Expected service life of the model and availability of parts

For small and mid-size loads, a refurbished unit with new batteries often has the lowest total cost. For large, always-on loads, efficiency gains from a newer model can offset part of the price difference over several years.

What questions should I ask before buying a refurbished UPS?

  1. What exactly was done to refurbish this unit?
  2. Are the batteries new? What is the date code?
  3. What is the warranty length, and does it include batteries?
  4. Was the unit load-tested, and for how long?
  5. Which firmware version is installed?
  6. What input plug and output receptacles does it have?
  7. Is a network management card included?
  8. What is the return policy if it does not fit my application?
